New Smart Membership System

Greetings, and thank you for staying with us at Oakhouse.

In April 2008, Oakhouse introduced the Smart Membership system, where residents make a deposit with us and receive a discount on their monthly rent, and it has been going strong for 9 years now. (It was known as Premiere Membership until March 2012.) Now, in response to our customers’ needs, we have implemented the New Smart Membership system, where every house can participate with an upper deposit limit of 4 million yen. As a result, we will be ceasing new Smart and Super Smart Membership applications.

3. Notes:

    1. It will still be possible to increase/decrease your deposit amount as usual until January 19th 2018. *Only for amounts where payment is confirmed by 15:00 on 1/19.
    2. Increases in deposit after 15:00 on January 19th 2018 will be per the New Smart Membership rate.
    3. Smart Membership deposits made by 15:00 on January 19th 2018 will continue at the current discount rate.
    4. Portions of the Smart Membership agreement will be amended. (§10, 11, 16)
    5. A New Smart Membership agreement will apply to the New Smart Membership system. For more details, please see the New Smart Membership agreement.
    6. The upper deposit limit per person for New Smart and Super Smart Members is ¥4 million. Persons who are members of both cannot deposit more than ¥4 million combined.
    7. Super Smart Membership was originally only available at certain houses, but current Super Smart Members can now maintain their discount even if they move to another house (max. ¥40,000; discount will apply after 1/20/18).

New Smart Member Agreement

  1. An Oakhouse resident can become a New Smart Member by completing the membership application and depositing the appropriate amount.
  2. New Smart Membership is limited only to those who have signed Oakhouse contracts.
  3. New Smart Membership is limited to individuals only.
  4. The amount of rent discount depends on the amount of deposit made by the New Smart member.

  6. Plans 1 through 40 are only available at certain houses. These plans cannot be used at other houses.
  7. Rent discount amounts and plans can be changed according to economic conditions with at least 6 months advance notice.
  8. Members cannot choose plans whose discount amounts would exceed their rent price (condo fees included).In addition, discounts can not be applied to other fees such as parking, etc.
  9. Only 1 New Smart Membership account may be opened per 1 contracted resident.※Even if a Member has multiple room contracts, Smart Membership plans are limited to 1 per person at maximum.
  10. New Smart Members can change their plan and discount by either increasing or decreasing their deposited amount.
  11. Rental discounts begin applying as follows below.

    ① If the application and deposit have both been confirmed as received by the day before the contract will start (i.e. the day rent starts), the discount will apply from the contract start date.

    -For current residents-

    ① When joining New Smart Membership for the first time, if the application and deposit are completed by the 20th day of a given month, the discount will take effect from the 1st day of the following month.

    ② If you would like to increase your deposit amount, if the application and deposit are completed by the 20th of a given month, the changed discount will take effect from the 1st day of the following month.

    ③ If you would like to decrease your deposit amount, the changed discount amount will take effect from the current month.

    The current month’s discount will be calculated on a per-day basis, with the discount amount before the deposit decrease being used until the refund has been returned, and the discount amount after the deposit decrease being used after the refund has been returned.

  12. If rent due for a period is less than 1 month’s worth of rent, the discount will be calculated per day, same as rent. The daily calculated rent will be rounded down.
  13. You can leave New Smart Membership at any time, and there are no penalties for doing so.However, after you leave New Smart Membership and your deposit is returned to you, the rental discount will no longer apply.
  14. A receipt will be issued for the amount of deposit you have paid as a New Smart Member.
  15. When leaving New Smart Membership or increasing or reducing your deposit amount, you must show the receipt of deposit.In the case of increasing or reducing your deposit amount, a new receipt will be issued.
  16. New Smart Membership deposits can only be made by bank transfer.
  17. Refund applications for the New Smart Membership deposit will be processed within 3 business days (bank business days) and will be transferred to the designated bank account.
    However, the days shall not include year-end holidays or days Oakhouse is not in operation. Applications made by 17:59 shall be counted as made on that date, and applications made after 18:00 shall be counted as made 1 day later.Business days exclude the year-end holidays, etc., as well as days on which Oakhouse is not open for business.
  18. New Smart deposits do not earn interest.
  19. The New Smart deposit may not be designated, pledged, or transferred to a third party.
  20. If there is any amount of unpaid rent at the time the New Smart deposit will be refunded, the unpaid amount will be deducted from the deposit.In addition, if there is any loss or damage to the building or facilities due to negligence, the repair costs will be deducted from the deposit.
  21. For those who are Smart Members as well as New Smart members, the upper limit of the total amount of deposit is 4,000,000 yen.※The upper limit shall be in accordance with #5.
  22. For decreases of the deposit through either the New or old Smart Membership system, as a rule the decrease will be from the deposit under New Smart Membership.
  23. The contents of this agreement may be changed with written notice 1 month in advance.

10. Rental discounts begin applying as follows below.

-For new residents-

① When the application form has been delivered and deposit payment is received by the day before the initial contract date, the discount will begin applying from the initial contract date.

-For current residents-

① When joining Smart Membership for the first time, if the application and deposit are completed by the 20th day of a given month, the discount will take effect from the 1st day of the following month.

② If you would like to increase your deposit amount, if the application and deposit are completed by the 20th of a given month, the changed discount will take effect from the 1st day of the following month.

③ If you would like to decrease your deposit amount, the changed discount amount will take effect from the current month.

The current month’s discount will be calculated on a per-day basis, with the discount amount before the deposit decrease being used until the refund has been returned, and the discount amount after the deposit decrease being used after the refund has been returned.

11. If amount of rent due is shorter than1 month, the discount will be calculated per day as well.

16. When obtaining a refund of your Smart deposit, it will be refunded to the designated bank account within 3 business days from when the application was made. Business days exclude the year-end holidays, etc., as well as days on which Oakhouse is not open for business.

1. When can I apply for the New Smart Membership?
A: Currently we have not yet opened the application period. The application announcement
and information will be released on the Oakhouse website from 15:00 on January 19 th .
Applications cannot be made before this time.

2. What’s the earliest the New Smart Member discount will take effect?
A: The discount can take effect from March rent at the earliest.

3. Can I apply and make a deposit for New Smart Membership now?
A: Unfortunately we are not currently accepting applications for New Smart Membership,
nor accepting deposits. Currently we are still only operating the regular Smart Membership
program.

4. What will happen to the current Smart Membership discount?
A: The discount will continue as-is. Applications for the regular Smart Membership program
as well as increases in deposit amount will cease at 14:59 on January 19 th , so if you would
like to increase the amount of your deposit, please consider doing so as soon as possible.

5. What about decreases in deposit after 15:00 on January 19 th ?
A: You can still decrease the deposit on the regular Smart Membership program. It will not
count as moving to the New program. However, when you increase again, the discount of
the new smart member will apply.

6. Can I be a Smart Member and New Smart Member at the same time?
A: Yes. However the maximum deposit limit for both Memberships combined is 4,000,000
yen per person. The recent Smart member ship`s maximum is 2,000,000 yen. (except 10.)

7.How does the deposit work in that case?
A: For example: With New Smart 20 Membership and old Smart T Membership, rent will be
discounted by -13,000 yen for New Smart and -20,000 yen for Smart T.

8.Current I am have Smart Member T. Can I deposit 4,000,000 in the New Smart program?
A: Unfortunately no. If you are at Smart Member T, the maximum amount you will be able to
deposit under New Smart membership is 2,000,000 yen.

9.Currently I am a Super Smart SPT member. Can I become a New Smart member?
A: Unfortunately no. Because the upper limit across all memberships is 4 million yen, if you
make any decreases in deposit amount after that point, the discount will apply per the
New Smart Membership.

10. Can I join as a Super Smart Member?
A: Super Smart Membership is limited to residents of 3 houses (Social Residence Fussa-
Haijima, SR Narita, Gran Nishi-Azabu). New Smart Members can deposit up to 4 million
yen at any house.
